Academic year

What it is for

Everything about a pupil in a year — their grade, class and attendance — hangs on the academic year. A year is added here with its dates and its terms are split automatically, and the current year is chosen once a year.

Who uses it

The page opens for whoever holds “View the academic year”, to look only, or “Manage schools, stages, grades and sections”, to work in it. In the built-in roles: Owner, Principal. A group grants these to any role under Settings → Roles and permissions, and everyone sees only what is within their own scope.

Step by step

1. Press “+ Add year”, type its start and end dates, and choose the number of terms.
2. Type the Hijri title or leave it to be suggested from the dates, and tick “Current year” if it is.
3. To change the dates or make a year current: the pencil on its row.
4. To delete a year: the bin; it is restored from “Deleted”.

How it works

A year is 400 days at most, its start before its end, and its title is not repeated in the group. When it is added it is split into equal consecutive terms by the number chosen (two to four), and its school days are laid out for every school. There is one current year for the group: ticking moves “current” to it, the first year added becomes current by itself, and the current year's box cannot be unticked: “current” moves by ticking it on another year, or goes when the year is deleted. A year made current gets its current term: the one containing today, else the first. An edit never re-cuts the terms: it is refused if a term falls outside the new dates, or if the number of terms drops below those that exist. Deleting deactivates, and the year's terms, enrolments and records stay. The year picker in the header changes only what you see in your browser, not the current year. Only someone whose permission covers the whole group changes the years.

• Search by the year's title, Hijri or Gregorian.
• The years, and the deleted ones.
• Each year's dates, its terms and the current term, and the “Current year” badge. The pencil changes, the bin deletes.
• “+ Add year”: the dates, the number of terms, the title, and “Current year”.

Questions

I deleted the current year and now none is current.

Deleting removes “current”. Tick “Current year” on another year with the pencil on its row.

Can I change a year's dates once its terms exist?

Yes, as long as every term stays inside the new dates. Otherwise change the term first under “Terms”.

What does the year picker in the header change?

Only what you see in this browser; the group's current year stays as it is.
