Message templates

Ready messages for each attendance status, for every school or for one school or stage, picked from a list when sending.

What it is for

Instead of writing the absence message each time, it is written here once: each status has its messages, and a school or stage may have its own. They are then picked under “Send messages”.

Who uses it

The page opens for whoever holds “View message templates”, to look only, or “Manage attendance settings”, to work in it. In the built-in roles: Owner, Principal. A group grants these to any role under Settings → Roles and permissions, and everyone sees only what is within their own scope.

Step by step

  1. Press “+ Add template”.
  2. Type the message's name, choose the status, and the school and stage, or leave them for every school.
  3. Write the message as it will arrive, then “Add template”.
  4. To change a template: the pencil on its row. To delete it: the bin; it is restored from “Deleted”.

How it works

A template is fixed text sent as it is, 1,500 characters at most, and its name does not repeat within the same scope. When sending, the school's or stage's templates show first, then those for every school. Every text saved is sent to Meta to approve as a template for the group's WhatsApp, a new version whenever its text changes; until Meta approves it, WhatsApp sends SchoolOS's template. If WhatsApp is not linked it is saved and sent to Meta from “WhatsApp templates” after linking, and if Meta would not accept the text it is saved for SMS and the page says why. Deleting deactivates, and can be undone. Only someone holding the attendance settings at the school changes templates.

Questions

Why does my template not show when sending?
It shows for its own status only, and for its school and stage if they are set. Check that it is not deleted.
What does sent to Meta mean?
WhatsApp sends only texts Meta approved. Until it approves yours, your messages go on WhatsApp with SchoolOS's approved template, and in your words by SMS.
