Year-end promotion

Moving a school's pupils at the end of the year into their grades for next year at once, after reviewing who repeats the year and who stays behind.

What it is for

At the end of the year every pupil needs an enrolment in the next. The page works out where each pupil of the school chosen goes: the next grade, in a class with their class's name, the first grade of the next stage, or graduation. You change the choice for the few who repeat the year or stay behind, then promote the whole school with one confirmation.

Who uses it

The page opens for whoever holds “View student placement”, to look only, or “Manage people, staff and students”, to work in it. In the built-in roles: Owner, Principal. A group grants these to any role under Settings → Roles and permissions, and everyone sees only what is within their own scope.

Step by step

  1. First create next year under Settings → “Academic year”; without it there is no promotion.
  2. Choose the school in the filters.
  3. If next year's classes do not exist yet: “Copy this year's classes” creates them with the same grades, names and capacity.
  4. Review the next year's column: “Promote” is chosen for every pupil; change it to “Repeat the year” or “Stay behind” where needed.
  5. Press “Promote students”, check the counts in the confirmation, then confirm.

How it works

A pupil is promoted to the grade with the next level in their stage, into the class with their class's name if next year has one (1-A to 2-A); otherwise they are enrolled in the grade without a class and wait in “Student placement”. After a stage's last grade they move to the first grade of the next stage if their school teaches it; otherwise they get no enrolment next year and wait “To the group” for a school that teaches it to place them. After the last grade of the last stage they graduate. “Repeat the year” enrols them in the same grade, in a class with their class's name if there is one; “Stay behind” does not enrol them next year. Nothing changes in the current year: its enrolments, attendance and reports stay as they are. A pupil already enrolled next year shows “Enrolled” and is skipped if promotion is run again. The counts in the confirmation cover every pupil on the list, those on table pages you did not open included. Whoever may place pupils at the school promotes, whoever manages its school structure copies the classes, and everyone else sees the plan with no buttons.

On the page

  • Choose the school whose pupils you promote.
  • How many pupils are promoted, graduate, go to the group, and have no class next year.
  • “Copy this year's classes” creates next year's classes, and “Promote students” promotes after you confirm.
  • Each pupil's grade now and where they go. Change the choice for anyone who repeats the year or stays behind.

Questions

Why is there no “Promote students” button?
Either there is no academic year after the current one, so create it first; or every pupil is already enrolled next year; or your permission on this school is to look.
What does “To the group” mean?
The pupil finished a stage their school does not continue: they get no enrolment next year, and wait under “Unplaced” for the group to place them at a school that teaches it.
A pupil was promoted into the wrong class.
Choose next year in the year list at the top of the page, then open the pupil's file and move them from the “Allocation” card.
