Absence settings

The attendance shifts: when the day starts at each school, when a pupil counts as late, the status for a pupil with no mark, the school days, and the automatic close and notice.

What it is for

A shift is the rule of the attendance day for a school, a stage or certain grades. From it a scan at the gate knows whether a pupil is present or late and by how many minutes, the register knows the school days, and closing the day gives the default status to every pupil still without one. A pupil no shift applies to on a day is not marked on it.

Who uses it

The page opens for whoever holds “View absence settings”, to look only, or “Manage attendance settings”, to work in it. In the built-in roles: Owner, Principal. A group grants these to any role under Settings → Roles and permissions, and everyone sees only what is within their own scope.

Step by step

  1. Press “+ Add shift”, choose the school, the stage if the shift is for one stage, and the grades if it is for certain grades.
  2. Type “Day starts” and “Late after (minutes)”, and the automatic close time if you want one.
  3. Choose the default status, the start and end dates, and the weekdays.
  4. Tick “Send the absence and lateness notice automatically on closing” if the notice should wait for nobody, then “Add shift”.
  5. To change a shift: the pencil on its row. To stop it: the bin; it moves to “Deleted”, where it can be restored.

How it works

A shift applies to a pupil on a day when it is for their school, for their stage or every stage, for their grade or every grade, and the day falls between its dates and on one of its weekdays. When a stage's shift and the whole school's both apply, the stage's is taken. Two active shifts for the same school and stage whose dates overlap are refused, even when their grades or weekdays differ. A pupil arriving within “late after” of the start of the day is present; one arriving later is late by the minutes since the start. The automatic close must be after the start of the day, and closes the day of every class its teacher did not close; only someone holding “Finalize attendance” at the school schedules or changes it, with “Notify guardians” too when the automatic notice is on. Stopping a shift leaves the attendance recorded under it as it is, but no new school day counts on it. Only someone holding the attendance settings at the shift's school changes shifts.

Questions

Why does a pupil show “No shift” in the register?
No active shift applies to them that day: check the shift's school, stage and grades, its dates and its weekdays.
Why was the shift not saved?
Another active shift for the same school and stage overlaps its dates. Change that shift or the dates; different grades or weekdays are not enough.
Why can't I set the automatic close?
The automatic close acts as the system, so it asks that you hold “Finalize attendance” at the school, and “Notify guardians” if you turn the automatic notice on.
