Send messages

What it is for

When the school wants to write in its own words to the guardians of today's absent pupils, or the late, or the present: choose the day, the status and the scope, and the list shows with the guardians; then pick a message from “Message templates” and send.

Who uses it

The page opens for whoever holds “View message sending”, to look only, or “Notify guardians”, to work in it. In the built-in roles: Owner, Principal, Stage supervisor. A group grants these to any role under Settings → Roles and permissions, and everyone sees only what is within their own scope.

Step by step

1. Choose the day and the status, then the school, stage, grade and class if you like.
2. Check the list: the pupil, their class, their status, their guardian, and whether one was sent before.
3. Choose the message under “Ready messages”.
4. Press “Send to…”, check the count in the confirmation, then confirm.

How it works

Every status on the chosen day is shown, whether the day is closed or not. Each guardian who receives messages and has a primary number gets one message about their children in this status. A message is never sent twice about the same record: those already “sent” are not counted in the send. The ready messages are this status's templates: the school's or the stage's first, marked “*”, then those for every school. They go by WhatsApp if the group is linked, otherwise by SMS; with no channel the attempt is recorded as failed in the message reports. Someone who may only look sees the list without guardians' numbers, except where their contact permission reaches, and does not send. Viewing the list is recorded.

Questions

How is this different from “Notify guardians” in the register?

The notice is for a closed day only, for pupils absent or late without an excuse, in the system's words. Here you choose the status and the words from your templates, even before closing.

Why is the send button disabled?

Nobody in the list is still unsent, or there are no templates for this status. Add them under “Message templates”.
