Your pupils' attendance at a glance: today or any period, in numbers and rates, day by day, and school by school down to the class, with what waits on someone and the messages to parents.

What it is for

A page for following up; nothing on it changes anything. It opens on today and shows the pupils your own permission reaches: a teacher sees their classes, a stage supervisor their stage, a principal their school. Every card links to the page where the work is done.

Who uses it

The page opens for whoever holds “View the Student Affairs dashboard”; it is for reading, nothing on it changes anything. In the built-in roles: Owner, Principal, Stage supervisor, Teacher, Counselor. A group grants these to any role under Settings → Roles and permissions, and everyone sees only what is within their own scope.

Step by step

  1. Choose the period: “Today”, “This week”, “This month” or “This term”, or type the start and end dates.
  2. Narrow the scope by school, then stage, grade and class; every number follows.
  3. In the breakdown table, press a school, stage or grade to go one level down.
  4. Follow “Waiting on someone” and “Repeat absences”, and press a card's link to work on its page.
  5. “Export Excel” downloads one sheet per card, and “Print” then “Save as PDF” gives a printed copy.

How it works

The attendance rate = (present + late) ÷ records, the absence rate = (absent + absent excused) ÷ records, and the average delay is taken over the late marks that carry minutes; a present mark with an excuse counts as present. The week starts after the group's weekend, and a period is one school year at most. The chart is day by day up to a month, week by week up to 120 days, then month by month. The breakdown is one level below the scope chosen, and a unit is flagged at 15% absence or more, “Critical” at 25%. “Today's register” shows while the period holds today, to whoever opens the register. In “Waiting on someone” each line is for whoever opens its page, within that page's reach: excuses awaiting review, today's absences and lates not yet sent to the guardian, and exit permits. “Repeat absences” is for whoever opens the reports: pupils absent without an excuse on three days or more in the 30 days up to the period's end, five or more “Critical”. Each message is counted once, even when it names more than one child. Everything is a count except the repeat-absence list, and viewing that list is recorded.

On the page

  • The scope: school, stage, grade and class, and the period's dates.
  • The ready periods, the Excel export and printing.
  • The period at a glance: pupils, present, late and absent, the rates, and the average delay.
  • One level below the scope, flagged at 15% absence and critical at 25%. Press a name to go down.
  • Classes whose register is not complete today. Press a class to mark it.
  • What waits on someone: excuses, notices not yet sent, exit permits.
  • Pupils absent without an excuse on three days or more in the last 30. Press a name for their report.
  • Messages to parents: how many arrived, how many did not, how many are waiting.

Questions

Why do my numbers differ from a colleague's?
Each sees the pupils in their own scope: a teacher their classes, a principal their school. The work cards show only to those who open their pages.
Why is “Repeat absences” empty when I know a pupil who is often away?
Only absences without an excuse count, in the last 30 days up to the end of the chosen period. An absence covered by an approved excuse does not count.
I cannot see the “Today's register” card.
It shows while the period holds today and today is a school day, to whoever opens “Daily attendance”.
