Enquiries

What arrives from the “Contact us” form on the public site: who wrote, how to reach them, which branch, the message, and whether it was handled.

What it is for

When a visitor writes to the school from its website — asking about admissions or fees — their message lands here. The office reads it, contacts them by phone or email, then marks it “Handled”.

Who uses it

The page opens for whoever holds “View enquiries”, to look only, or “Manage tenant settings”, to work in it. In the built-in roles: Owner. A group grants these to any role under Settings → Roles and permissions, and everyone sees only what is within their own scope.

Step by step

  1. Narrow by status — new or handled — or search by name, phone or email.
  2. Press the envelope on the enquiry's row to read the message.
  3. Contact the person from their phone or email link.
  4. Press “Handled” in the message's window, or “Reopen” if it needs following up.

How it works

A visitor types their name, a phone or an email (at least one), and a message of up to 4,000 characters, and chooses the enquiry type, and the branch if the group has more than one. The form is protected against automated messages by limits per address and per school every quarter of an hour. If the enquiry type has a receiving email, a notice with no content goes there, with a link to this page. Enquiries are text from outside the school: shown as written, never linked to a pupil's file, and never read by MG Tech. They are not deleted here; they are kept while the group subscribes. The search is never written into the page's address. “Handled” is written to the action log by the enquiry's number alone, never the person's name or message. Whoever holds the view reads enquiries; whoever holds the group's settings marks them.

On the page

  • The status, and the search by name, phone or email.
  • New enquiries, and all of them.
  • Messages from outside the school: never linked to a pupil's file, never read by MG Tech.
  • Each enquiry's sender, contact, branch, date and status. The envelope opens the message.

Questions

Can I delete an enquiry?
No. It is marked “Handled” only.
Who is told when an enquiry arrives?
The enquiry type's receiving email if one is set under “Enquiry types”, and the enquiry shows here for everyone who opens the page.
Why is the branch “—”?
The visitor chose the head office, or the group has one branch, so the choice was not offered.
