WhatsApp templates
Every WhatsApp template of the group and its state at Meta: SchoolOS's templates, the wordings from “Message templates”, campaign templates, and those made in Meta itself.
Open the page in SchoolOSWhat it is for
WhatsApp sends a message the school starts only by a template Meta has approved. Here you see every template: where it came from, its category, its state, and Meta's note on it. From here templates are sent for approval, and a new campaign template is made.
Who uses it
The page opens for whoever holds “View WhatsApp templates”, to look only, or “Manage WhatsApp templates”, to work in it. In the built-in roles: Owner. A group grants these to any role under Settings → Roles and permissions, and everyone sees only what is within their own scope.
Step by step
- Narrow by status or source, and look at the counters: approved, in review and rejected.
- Press “Submit templates to Meta” to send whatever has not gone yet, and “Update from Meta” to fetch their states.
- Press the eye on a template's row to read its text, and from there “Submit again” for a rejected or paused template.
- For a new campaign template: “+ New template”, type its name, category, text and an example for each variable, then “Save and submit”.
How it works
A notice goes by the newest approved version of the school's own wording if there is one, otherwise by SchoolOS's approved template for its kind; with neither, while WhatsApp is linked, the notice is recorded as not sent and does not fall back to SMS. Only an “Approved” template sends; “In review” waits for Meta, “Rejected” has Meta's reason in “Meta's note”, and “Draft” has not been accepted by Meta yet. Changing a wording under “Message templates” sends a new version for approval, and the older approved version keeps sending until the new one is approved. SchoolOS checks a text before sending it: not empty, and not starting or ending with a variable; its refusal shows in “Meta's note” too. A new template's variables are lowercase Latin letters, digits and underscores, starting with a letter, each with an example; an “Optional message” template gets the stop link at its end, and only such a template can carry an optional campaign. A template a scheduled or running campaign uses cannot be deleted. A template made in WhatsApp Manager is changed and deleted there, not from this page. Every action is written to the action log by its counts and outcome, never the template's text. Only someone holding “Manage WhatsApp templates” manages them.

Questions
- Why is a notice not sent on WhatsApp?
- It has no approved template: neither the school's wording nor SchoolOS's. The notice is recorded and does not fall back to SMS. Submit the templates to Meta and wait for approval.
- I changed a wording under “Message templates”. Does the old one stop?
- No. A new version is sent for approval, and the old approved one keeps sending until the new one is approved.
- A template was rejected. What now?
- Read “Meta's note”. If it is a wording from “Message templates”, fix it there; otherwise open its text with the eye and press “Submit again”.
